Ordering lands, apartments by BMS: Only in 10 seconds

The process of information analysis, responding to orders of land/apartment at Van Phat Hung Company was very slow, unprofessional. Booking system through BMS helped solve this problem and shortened the time down to 10 seconds.

Before applying: Busy, puzzled!

Van Phat Hung Company specializes in investing and developing in the field of real estate with the total investment capital of up to VND 200 billion. So far, this company has invested in constructing and trading many projects, high class residential areas including lands for city houses, villa, and apartment buildings. Presently, Van Phat Hung has 13 branches, representative offices with as many as 250 sales executives.
The information of what apartments have been sold out is daily fed to the system and known to the sales executives. That is a combination between web and SMS Gateway. BMS has also a function to check the messages and subscribed messages for legality, to process overall data from messages and online system.
Previously to introduce this product to customers, Van Phat Hung’s sales executives had to continuously update the information about unoccupied, booked contracted projects, apartments… Information processing staff had to continuously receive calls from 250 sales executives, then checked the information on computers and finally responds to them. This manual work caused “congestion” for this department. Sometimes, there were many calls at the same time, they could process the information, depriving the executives of chances of selling; and the customers’ rights were also violated. On the other hand, the misunderstanding also took place between the sales executives and information processing staff due to the subjective manner of the operators. For example, the bottom lands/apartments which are located at beautiful locations often have a high demand, but the supply is limited, which causes a state of inhibition and skepticism” for the sales executives because they could not reserve for their customers. There were some lands/apartments which had been booked, but then were canceled, which was not let know to the sales executives in order for them to offer. 
Mr. Nguyen Ngoc Dung, VPH IT & Telecommunications Director, says “If the operating system does not run smoothly, it will affect the customers’ rights. Goods for real estate markets are special ones. So, only a call to ask if there are any goods available, it shall decide whether the customers agree to buy or not. Therefore, it is very necessary that VPH should have solution to this puzzled problem.”
At first, VPH choose the solution of website www.vanphathung.com in order for the sales executives and the customers to have access to the information, to take a look at lands/apartments and reserve online through this website. But when dealing with customers, they do not always have a laptop and internet with them to update information. So, the optimal solution is to have a tool update and check information quickly, simply at any time and anywhere. It took them some months to research, survey, VPH and Mat Bao company worked together to build a new model of Booking Management System, BMS. The total value of BMS and its SMS connection solutions is US$ 50,000.00, in which server, hard wares accounts for US$ 10,000.00.

BMS: Objective, Quick and Professional

Training for trial development of BMS: VPH opened 6 training classes for 250 sales executives, trying thousands of messages and virtual selling for land/apartment projects.
BMS is an integrated application between the system management by IT method (computer, online booking system on website) and SMS management system of mobile phones through SMS Gateway supplied by Mat Bao. BMS helps the sales executives become more professional in selling: giving information about the project products’ real states, pictures, locations …, so that they can provide their customers exact information.

The system is fed with daily information; the entire sales executives know what apartments have been sold. That is a combination between web and SMS Gateway. BMS has a function to check the messages and message subscription for validity, comprehensively processing data from messages and online system. Together with keeping online system secure, BMS applies security mechanism on SMS to make sure of the unique and absolute safety when using messages to access to the system. Each sales executive is given a private SMS access code. At the same time, the machine parameters and the staff’s mobile phone shall be declared before using. When there is a new project, the project information management department shall update the product information for the system. The system allows managing and carrying out the business of different projects at the same time. It is allowed to apply the system for many projects. For each project, the manager can transfer his access right to one or more sales groups. With such a model, the company can establish separate project sales groups to do the job most effectively.
When meeting a customer, the sales executive can use his account (user name, password, and pin numbers) to have access to the company’s online system to check for the real states of the lands/apartments in order to consult or book for his customer. In case, this sales executive is somewhere there is no internet connection, they can also check the information, reserve, do booking… by simply sending a message through his mobile phone. At once, BMS system shall process the information and respond to the sender and let him/her know whether this apartment is available, occupied, reserved or paid advanced … In cases, the product is reserved, but the customer still wants to buy, BMS, through a message, tell the sales executive for how long this product will be reserved (as usual it is about 4 hours, depending on projects or period of time) and the position of the booking person in the waiting list. When the reservation time is out, if the product is not made down payment, the next booking customer shall replace.
This system manages the order by the number of down payment receipt of the sales executives. If a customer agrees to make a down payment, the staff shall send a message, and then BMS shall advise the down payment code. It means that that product is purchased. VPH also builds the regulations of processing the down payment and contract execution. The system shall advise the number of the down payment receipt (this number is unique in the entire system), which makes it convenient for the staff to perform their selling task at any time and anywhere. This system also helps the staff in contact, supplying information and sales subject to the process.
BMS is secure, self-contained in the general system of the company (only staff with pre-named mobile phone can have access). This can be seen as a legal factor in e-commerce application, restricting any possible risks, disputes.
The equality in business among divisions, branches of VPH is highly improved. Formerly, when there was a project, the company sent fax to its branches to advise the number of apartments, lands offered. So, this causes a problem that some branches received the information ahead of others and had more advantages in offering. With BMS application, this is publicly announced on website at the time of declaring to sell the products. When the projects have already been declared on website, declared the time to start inputting the system, the messages shall be able to be received by the system. When the right time comes, anyone who is quick shall reserve good locations, and who is late shall wait.
“Unlike other products that once they are booked, the transaction is finished, houses, land are a special type of product. After booking, there are quite many legal factors to be handled by the buyer and the seller like legal procedures, modes of payment… BMS shall help the sales executive find it more convenient to book, increase their sales effectiveness. With the former sales management system, the administrator was very tense and easy to get confused in processing information. The sales executives did not have enough information to make or change the policy at the right time. This easily loses the company’s sales opportunities. The information provided for the management is also more exact and quicker, facilitating their decision. The number of I.T administration department staff, accordingly, goes down to only 2, instead of 10” said Mr. Dung
The system shall be applied at the first stage of selling the project of Blue Diamond Tower with about 150 high-class apartments in the fourth quarter of 2007, which is developed by 250 sales executives with 11 branches in HCM City, 2 in Long An, Can Thanh … It is estimated to be expanded into the North and central areas of Vietnam.
